Making new members feel welcome in your community

So, how we can make new members feel right at home in our community? Here are some of my key advice points.

Start with a Warm Welcome​

First impressions are key. Begin with a genuine welcome message, either privately or in a public thread. Make them feel like they've entered a friendly and inclusive space. Don't just rely on the automated PM or post if you have one; take the time to welcome them personally on their profile.

Show Them Your Guidelines​

Nothing's worse than a member breaking the rules on the first day. Make sure you outline the community rules and how everything operates.

Personal Introductions​

Some communities lump all introductions into one big topic. That’s not personal enough. Make sure we have a dedicated introduction forum and encourage new members to create their own introduction posts.

Regular Check-Ins​

My favorite one. Check in with new members after their first week or month. Ask how they’re settling in and if they need any help. This shows that you care about their experience and sets you apart from your competitors.

Recognition and Encouragement​

This is one I've seen on Facebook groups. Celebrate new members by featuring them in updates or newsletters. A little recognition will make them feel valued and motivate them to participate more.

Feedback Loop​

Ask for feedback on their onboarding experience. This helps you understand what’s working and where improvements can be made, ensuring a better process for future members.

Create a Forum Guide​

Develop a comprehensive guide that walks them through the forum’s features and navigation. Include screenshots and step-by-step instructions to make it easy to follow.

Your goal should be to make new members feel welcome, informed, and excited to be part of the community. A thoughtful onboarding process is the foundation of a vibrant and engaged community.

Networking

If you can network them with another member, you'll be creating a loyal member.

This is especially true for communities that center on members needing help (like this one for example).

Note the niches and expertise that new members state they have. When another member with similar interests joins, try to network them together.

This can be a big deal for your community members.
 
Asking questions usually works to get them engaged. It's just that, sometimes I'm in a hurry and don't know what to ask, or they haven't given me enough info so I can formulate a good question to ask.
 
I like to either post in new member's introduction threads or create one for them to let them see that I noticed they joined and welcome them. I think asking questions and replying to their introduction threads shows that you care that they took the time to join your community, that could keep them coming back.
 
Offering a mentorship program for new members to help guide them through the community.
Hosting welcome events or webinars to introduce new members to key features and resources.
Encouraging new members to participate in icebreaker activities or challenges to help them connect with other members.
